Communications and Operations Coordinator Job Description

Position Summary: The Communications and Operations Coordinator works closely with the Executive Director and Program Director on all aspects of organizational and communications strategy.  In this role, they maintain all Good Beginnings’ communications, including the website, social media accounts and both printed and digital outreach materials. The C / O Coordinator also ensures smooth functioning of the office and the Nest space, assists with donor and volunteer management, and provides administrative and communications support to Good Beginnings’ fundraising activities. The Communications and Operations Coordinator reports to the Executive Director. This is a part-time (20 hours/week) in-person, non-exempt position starting at $22/hour. We value and encourage work-life balance, and so office hours can be flexible. There may be an opportunity to grow this position in scope and flexibility depending on interest and available funding.

Job Duties

Communications and Social Media 

  • Manage Good Beginnings social media presence primarily on Facebook and Instagram
  • Maintain Good Beginnings website, including updates and improvements through WordPress 
  • Maintain GBCV e-mail list(s)
  • Draft monthly e-newsletters and other email communications using MailChimp
  • Create communications and outreach materials, both print and electronic

 

Administration 

  • Maintain inventory and restock office supplies 
  • Maintain office paper and electronic filing systems, including donor database
  • Maintain Good Beginnings office equipment and Nest space, including ensuring that the space is kept clean and welcoming for families
  • Other duties as assigned

Programs 

  • Provide administrative support for Good Beginnings events and workshops, including planning for and procuring supplies, preparing resources and materials, communicating with registered participants, and coordinating registration and attendance data collection 
  • In partnership with Program Director and Executive Director, conduct monitoring and evaluation of Good Beginnings programs by conducting closing surveys with families, entering client data for all programs, and preparing summary reports as requested
  • Process volunteer applications by completing VCIC and National Sex Offender Registry checks, as well as reference checks
  • Answer phone and email/social media inquiries about Good Beginnings programs and services 
  • Other duties as assigned

 

Qualifications and Skills

  • Commitment to and passion for Good Beginnings’ mission
  • Experience with Canva (or a comparable graphic design platform)
  • Familiar with, and reliable at, data collection, entry, and management (Excel, Google Sheets, volunteer and donor management systems)
  • Experience with managing organizational social media accounts, such as Facebook (Meta)
  • Proficiency with Microsoft Office and G Suite applications
  • Strong attention to detail and the ability to organize and prioritize work
  • Ability to communicate effectively with coworkers, clients, and partners
  • Excellent interpersonal skills, both on the phone and in person
  • Strict adherence to and respect for the Good Beginnings confidentiality policy
